REQUEST A PROJECT CONSULTATION
The design of an on-site event registration system is determined by more than the total number of attendees. The arrival window, guest journey, available space, identification method, access permissions and on-site badge issuance all influence the appropriate setup.
The ultracompact regiPod design enables professional check-in points to be deployed quickly in limited spaces without being tied to fixed local data or power connections.
This allows each registration point to follow the guest journey and actual arrival flow rather than the location of fixed infrastructure.
Hostess-Operated Check-In
On-site staff identify and check in guests by name, QR code or barcode.
For hostess-operated setups, an optional finger-worn QR and barcode reader is available. Its practical benefit is that the hostess can keep both hands available for guest assistance and other on-site tasks while identifying attendees.
Self-Service Check-In
The regiPod can also be configured as a self-service check-in point.
The same physical station operates either as a hostess-operated or self-service endpoint according to the requirements of the event.
Multiple Guest Identification Methods
The system supports:
On-Site Badge and Wristband Printing
The regiPod is configurable for on-site badge and wristband printing.
For pre-printed badges, the guest's personal details are added on site. In another configuration, the complete badge or wristband is produced during the on-site registration process.
Guest identification, check-in and physical credential issuance therefore operate as part of one event registration environment.
On-Site Registration of New Guests
Guests who have not registered in advance can also be added on site.
The required fields and guest information are configurable according to the requirements of the event.
Guest Data Editing
Existing guest information can be updated on site by users with the appropriate operator permissions.
Access Permission Management
The regiPod manages permissions according to its location and the role of the specific check-in point.
Separate access permissions can be assigned, for example, for:
The regiPod therefore works not only at the main event entrance, but also at additional access-control points within the event.
The regiPod operates as an on-site endpoint within the rentiT Event Registration Ecosystem. The software foundation of the solution is EES – Event Entry System, which manages guest data, identification, check-in status, access permissions and badge-issuance functions.
EES also handles guest and registration data received from third-party systems.
The regiPod therefore operates as part of a broader event registration ecosystem rather than as a standalone check-in device.
Pre-registration does not need to take place within a rentiT system.
Guest data can be imported from a prepared data file or, following the appropriate integration, received from another event, registration or customer-side system.
Where EES manages event access identifiers, the system generates and sends a unique QR code to each participant, which is then used for identification at the regiPod upon arrival.
External online registration and rentiT on-site check-in therefore operate as part of one coordinated guest arrival process.
With the appropriate integration, the on-site check-in status appears in the rentiT event app.
The participant's attendance status is therefore available to other digital event functions as well.
Within the rentiT Event Registration Ecosystem, on-site registration can be connected, according to the integration defined for the project, with:
The ultracompact design provides more than a small footprint.
The regiPod:
Suitable mobile network coverage must be confirmed during project planning.
The registration point is one of the first physical touchpoints in the guest journey, making its visual appearance an important part of the overall event experience.
The external appearance of the regiPod can be aligned with the event identity using a custom magnetic branding sticker.
The LED lighting supports both decorative and functional use. Depending on the configuration, it can indicate the operating status of the station or the result of an access-permission check.
The compact footprint also allows the regiPod to be placed on a TFLEX illuminated hostess counter, creating a space-efficient and visually consistent guest reception point.
Flexible Placement
The location of check-in stations is primarily determined by the guest journey and arrival flow rather than by the position of fixed cabling.
Check-In and Badge Issuance in One Environment
Guest data, on-site check-in, access permissions and the issuance of a physical badge or wristband are managed within one event registration environment.
One Technology for Multiple Check-In Roles
The regiPod supports both hostess-operated and self-service configurations.
Configurable for Each Event
The regiPod can be fully tailored and freely configured to match the registration and check-in processes of each event.
Integrated into a Broader Ecosystem
The regiPod is not an isolated endpoint. Through EES and other components of the rentiT Event Registration Ecosystem, on-site registration also operates as part of a broader, unified event technology environment.
The ultracompact event check-in and badge-printing system is available as a complete project-based service.
The exact scope is defined according to the requirements of the event. Available service elements include:
For simpler events, Badge Printing as a Service is also available. In this model, rentiT prepares the system, while on-site operation is handled by the customer or the event hostess team.
For more complex projects, rentiT provides the system with on-site technical support or full operational management.
The event registration environment is not limited to a single type of check-in endpoint.
The regiPod works together with other elements of the rentiT Event Registration Ecosystem.
Self Check-In Kiosk
For larger, fixed self-service guest reception points, a floor-standing Self Check-in kiosk is available.
Turnstile Event Access
Where physical access restriction is required, EES works together with the turnstile event access solution.
Mobile Phone and Tablet Check-In
Where no on-site badge or wristband printing is required, mobile phone or tablet check-in is available.
Laptop Check-In
At points requiring a larger display or more extensive on-site data handling, EES also operates on a laptop endpoint.
This allows different arrival and access points at the same event to use the endpoint best suited to their specific function.
Based on rentiT project experience, approximately 100 participants per regiPod check-in station is a practical planning guideline.
This is a planning figure, not a guaranteed performance specification.
The required number of stations is primarily determined by:
Events with the same total number of attendees can therefore require different numbers of check-in stations.
The ultracompact check-in and on-site badge-printing solution is particularly suitable for:
Where on-site badge or wristband printing is not required and the hostess needs to move continuously around the venue, mobile phone or tablet check-in is a simpler option.
For a large, fixed self-service guest reception point, the floor-standing Self Check-in kiosk is the more appropriate solution.
For events requiring physical access restriction, the check-in environment is complemented by turnstile event access.
For outdoor or otherwise demanding environmental conditions, the technical suitability of the selected configuration must be confirmed separately.
## Practical Experience
Based on rentiT project experience, on-site check-in capacity is not determined by total guest numbers alone.
The arrival window is particularly important: attendees arriving within a short, concentrated period require more parallel check-in stations than the same number of attendees arriving continuously over a longer period.
System planning therefore considers not only total attendance, but also the arrival pattern and the complexity of the required on-site check-in activities.
What is the ultracompact event check-in and badge-printing solution?
The rentiT solution is the ultracompact on-site check-in configuration within the rentiT Event Registration Ecosystem. Its primary physical endpoint is the regiPod, which operates with EES – Event Entry System to support guest identification, arrival check-in, access permission management and on-site badge or wristband issuance.
What does ultracompact mean in practice?
The ultracompact design means a check-in point with a small footprint that is quick to deploy and easy to reposition. During operation, the regiPod does not require a fixed local data or power cable connection.
How many regiPod stations are required for an event?
As a planning guideline, approximately 100 participants per regiPod station is recommended. The actual number of stations is determined by the arrival window, identification method, data-handling requirements and the complexity of badge or wristband issuance.
Can the solution be used with guests registered in another system?
Yes. With the appropriate integration, guest data can be received into EES from another event, registration or customer-side system. According to the project configuration, EES can also generate and send a unique event-access QR code to participants.
Is an on-site technician required?
Not for every event. Under the Badge Printing as a Service model, the prepared system is operated by the customer or the event hostess team. For more complex projects, rentiT provides on-site technical support or complete operational management.
Can the system manage different access permissions?
Yes. The regiPod and EES manage permissions according to the role of the specific access point. Examples include a breakout room, catering area, VIP zone or another restricted event area.
Is venue Wi-Fi required?
No. The regiPod operates using mobile data connectivity and therefore does not depend on the venue Wi-Fi network. Suitable mobile network coverage is required.
Does check-in status appear in the event app?
With the appropriate integration, the on-site check-in status appears in the rentiT event app, making the participant's attendance status available to other event functions.
Can a complete badge be produced on site?
Yes. The system supports both on-site personalisation of pre-printed badges and, with the appropriate configuration, complete on-site badge production.
Self-Service Self Check-In Kiosk
The floor-standing Self Check-in kiosk complements the ultracompact regiPod stations as a larger, fixed self-service guest reception point.
Turnstile Event Access
Turnstile event access connects with EES for events where access-permission verification is followed by physical access restriction.
Visitor Tracking and Analytics
Check-in data provides an important starting point for event attendance and visitor information and, according to the integrations defined for the project, connects with visitor tracking solutions.
regiPod Wireless Check-In and Badge-Printing Station
The regiPod is the primary on-site endpoint of the solution. It can be configured for both hostess-operated and self-service check-in.
TFLEX Illuminated Hostess Counter
The ultracompact regiPod can be placed on a TFLEX illuminated hostess counter, creating a space-efficient and visually consistent guest reception point.
EES – Event Entry System
EES is the mandatory software component of the solution. Guest data, identification, check-in status, access permissions, on-site badge issuance and connected system integrations operate within one software environment.
